Privacy notice
PhoneTill helps UK takeaways take orders by phone using AI. This short notice explains what we collect and why, in plain English.
Who we are
PhoneTill is the service behind admin.phonetill.com. Questions: admin@phonetill.com.
What we collect
- Shop details — name, WhatsApp number, menu text, postcode, fulfilment settings, and billing contact details you give us.
- Call & order data — order items, customer name/phone when spoken on the call, delivery address if needed, and kitchen ticket text.
- Messages — WhatsApp tickets to the kitchen and SMS to the customer (order confirmations / pay links where used).
- Payments — Stripe handles card details. We store Stripe customer/payment references and amounts owed or paid (£1 per completed AI order). We do not store full card numbers.
Why we use it
To run the ordering line, send kitchen tickets and customer texts, bill £1 per completed AI order, and support you when something goes wrong. We do not sell personal data.
Who we share with
Only providers that make the product work — typically voice AI (call handling), Twilio (WhatsApp / SMS), and Stripe (payments). They process data under their own terms as processors or controllers as applicable.
How long we keep it
Order and billing records are kept while the shop is active and for a reasonable period afterwards for disputes, accounting, and abuse prevention. You can ask us to delete a shop account; some records may need to stay for legal or financial reasons.
Shop DPA
For controller / processor roles on order and WhatsApp data, see the short Data Processing Addendum.
Your rights (UK)
You can ask for a copy of shop data we hold, corrections, or deletion where appropriate. Email admin@phonetill.com. If you are unhappy with how we handle data, you can contact the ICO (ico.org.uk).
